Kashoo overview: what is Kashoo & what is Kashoo used for?

Kashoo is a cloud-based accounting program built for small businesses that comes with a generous set of features at an affordable price.

With Kashoo, you can do all kinds of things, such as:

  • Track expenses

  • Track bills and payments

  • Take pictures of receipts

  • Accept online payments

  • Create and send invoices

It’s the most suitable accounting solution for small business owners, freelancers, and independent entrepreneurs. It’s more geared towards users with no prior accounting or bookkeeping experience and want to manage these processes without professional assistance.

Kashoo includes multiple users and role-based permissions, making it a collaborative platform for business owners and accounting professionals.

Kashoo free vs paid: what’s the difference?

Unfortunately, Kashoo doesn’t offer a free plan. On a positive note, it has one paid plan that’s very affordable, standing at only $30/month. Additionally, there’s a 14-day free trial if you want to take the software for a spin before committing to a subscription.

  10. Projects

1. Invoicing and payments

From Kashoo, you can easily and quickly create and send invoices to clients. There are several invoice templates available that you can customize. Additionally, you can even upload your company logo so that your invoices look more professional.

Once you're done creating an invoice, you can email it to the client or download it as a PDF. When sending an invoice via email, you can customize the email and add a subject line, write text, add people in CC, and more.

The app’s invoice feature keeps a timestamp of your sent emails, so you don't invoice a client twice.

If you activate the Payments feature, you'll be able to email your invoices to clients with a link that allows them to pay you online using Visa, MasterCard, or American Express.

Payments will automatically be logged in Kashoo, and once the client transfers the money to your bank account, that transaction will appear in the system. To activate the Payments feature, you'll need to sign up for an account through Kashoo's credit card processor, WePay.

2. Income and expenses

Fulfilling its role as bookkeeping software, Kashoo lets you record income and expense transactions. These transactions can be categorized and sorted so everything is ready to go when it’s time to file taxes.

By entering your transactions, you can get a better picture of how your business is doing. Adding income and expenses is incredibly easy; all you have to do is fill out the income or expense forms with the necessary information and numbers.

Another great feature is the option to digitally capture receipts and attach them directly to expenses. The system supports multiple currencies. All of your reviewed transactions will be listed in the “Transactions” section of your account.

3. Bills to pay

Kashoo comes with basic bill management and tracking features. For example, you can enter all of your bills inside the system so that you know which bills are paid and which are overdue.

You can also view a sum up of your unpaid bills in the reports section. However, you can’t pay bills through the system, but you can print checks to pay bills.

4. Reports

Kashoo lets you view a few different types of reports, such as income statements, unpaid invoices and bills, trial balance, general ledger, balance sheet, and transactions summary.

You can export all of these reports; there’s the option to export to Excel, CSV, HTML, PDF, or Google Sheets if you need to send a report to your accountant or other business consultants. Additionally, you can create customized reports.

5. Bank reconciliation

Kashoo has full bank reconciliation, making it easier to pull your end-of-the-quarter or yearly financial numbers.

6. Banking

Kashoo lets you sync your bank accounts and your credit card and financial accounts. Additionally, you can import data from other accounting software systems. You’ll be able to see everything together in a chart of accounts.

Kashoo works with 5,000+ banks worldwide; you can select from a list of the most popular banks in your area or use the search to find your financial institution.

Once you connect the system with a bank account, it will show on your home screen. Kashoo is a very secure platform for bank feeds; your account connections are fully encrypted.

7. Mobile app

If you want to use Kashoo on the go, you can download the iOS mobile app that’s available for iPhone and iPad users. Unfortunately, there’s currently no Android app.

The mobile app lets you create invoices, capture receipts, enter payments, and get real-time updates on accounting activity. The iPad allows you to add business transactions while offline.

8. Users and account management

One of the best perks of the Kashoo software is that you can add unlimited users. There are four types of roles a person accessing your Kashoo business can have. Each of the four roles has a different access level: admin and billing, admin, view/edit only, and view only.

9. Add-ons

You can integrate Kashoo with several third-party tools, including Stripe, FreshBooks, and Square. Additionally, you can do payroll with Kashoo.

The company has partnered with Paychex, one of the leading payroll providers for small businesses in the US. For Canadian payroll, Kashoo has partnered with PaymentEvolution.

If you don’t want to integrate Kashoo with a third-party app, you can manually enter your payroll numbers using a tax table.

10. Projects

Project Tracking is an excellent feature for businesses that want to track the profitability of client projects. To use this feature, you have to activate it from the Settings menu. Once you have a project set up, it's easy to track the income and expenses associated with it.

While entering income or invoices, you can use the Project field to choose an existing project or create a new one.

Likewise, while entering expenses or bills, you can choose a project to associate it with. Go to the Income Statement report page to get a summary of the income and expenses associated with a particular project.

Kashoo pros and cons

Here are the advantages and disadvantages of Kashoo:

Kashoo advantages

One of the biggest perks of Kashoo is that it’s a very user-friendly piece of software suitable even for beginners. Every feature is fairly simple to use, from connecting your account to invoicing clients and tracking your income.

It’s the ideal software if you want to simplify the process of managing your small business or side hustle.

Freelancers and small business owners can greatly benefit from features like unlimited users, associating expenses or income with a project, online payments, inventory management, and bill management.

You can enable the multi-currency feature if you live outside of the US or Canada.

On the plus side, the software comes with a good deal of financial reports and statements that inform you of the health of your business.

Invoicing clients is also very straightforward, and the best thing is that clients can pay you online using Visa, MasterCard, or American Express.

Many users opt for the Kashoo software because of its affordable monthly plan, standing at only $30 per month. Compared with other solutions like Xero, QuickBooks Online, and FreshBooks, Kashoo's pricing is more straightforward and certainly lower.

All in all, the software lets you get the job done without overwhelming you with complexity and capabilities that you don’t need.

Kashoo disadvantages

The downside of a lightweight system that doesn't overwhelm you with features is that you have limited options of what you can do within the software.

For example, the software lets you add bills and payments, but you can't pay bills. There's also no time tracking functionality that some accounting software have.

The software also lacks recurring invoices, double-entry accounting, and an Android app.

The integration options are also limited; you can connect Kashoo with only a handful of third-party apps. Although Kashoo supports multiple currencies, the feature is not available with the mobile app.

Kashoo cloud accounting complaints & praise (from real Kashoo customer reviews)

User reviews of Kashoo are mostly positive, with users saying the software is a good alternative to QuickBooks for small companies. They are fans of the simple user interface and the set of features that are everything you need to manage a small business or side hustle.

Other reviewers like how the software doesn't overwhelm you with features, but it has the right amount of functionality. Many users' favorite feature is the ability to quickly reconcile their bank accounts. Another plus is the affordability of the software, which is a major benefit for smaller businesses with tight budgets.

Some of the more negative Kashoo reviews say the software is good, but needs additional functionality to be a total solution. Other Kashoo users would like to see in-app tutorials as they find the software has a learning curve. A few users are hoping to see more integration options.

Review of Kashoo support

Kashoo customer support has an exceptional rating from customers. According to reviews, you can easily get in touch with customer support via phone, email, or live chat.

There’s also an extensive knowledge base that contains hundreds of help articles explaining how every feature works.
